English – Making Complaints and Apologizing – BAC Literary Stream
Knowing how to make complaints politely and how to apologize appropriately is an important communicative skill for the BAC exam and real-life situations.
Making Complaints:
- Mild/Politely: “I’m sorry to say this, but…” / “I’m afraid I have a complaint.” / “I’m not satisfied with…”
- Strong: “I’m very disappointed with…” / “This is unacceptable!” / “I want to speak to the manager.”
- Writing a complaint letter: “I am writing to express my dissatisfaction with…” / “I would like to draw your attention to…” / “I would appreciate it if you could…”
Apologizing:
- Simple: “I’m sorry.” / “I apologize.” / “Excuse me.”
- More formal: “I sincerely apologize for…” / “Please accept my apologies.” / “I would like to apologize for…”
- Explaining: “I’m sorry about the delay. There was a traffic jam.” / “Please forgive me. I didn’t mean to…”
- Promising to improve: “I promise it won’t happen again.” / “I’ll make sure it doesn’t happen again.”
Responding to Complaints:
- Polite: “I understand your concern.” / “Let me look into this for you.” / “I’ll take care of it right away.”
- Apologetic: “I’m terribly sorry about this.” / “Please allow me to apologize on behalf of the company.”
Useful Expressions:
- “There seems to be a problem with…”
- “I’d like to get a refund, please.”
- “Can you replace this, please?”
- “This is not what I ordered.”
- “I’ve been waiting for an hour.”
- “I would like to speak to someone in charge.”
- “Thank you for bringing this to our attention.”
BAC Exercise:
Write a short complaint dialogue using appropriate expressions.
Example answer:
Customer: “Excuse me, I’m afraid I have a complaint. I bought this phone yesterday, but it doesn’t work properly.”
Assistant: “I’m very sorry about that. Let me check it for you.”
Customer: “I’d like to get a refund, please.”
Assistant: “Of course. I’ll process that right away. Please accept our sincere apologies.”
