Formal letters are used for official communication, such as job applications, complaints, and requests. This lesson covers the format and useful expressions for writing formal letters.
Format of a Formal Letter
- Sender’s address: top right corner.
- Date: below the address.
- Recipient’s address: left side.
- Subject line: brief title in bold.
- Salutation: Dear Sir/Madam, or Dear Mr/Ms [Name].
- Body: introduction, main content, conclusion.
- Closing: Yours faithfully (if salutation is Dear Sir/Madam) or Yours sincerely (if name used).
- Signature: your name.
Useful Expressions for Opening
“I am writing to apply for / complain about / request / inquire about…”
“I am writing in response to your advertisement for…”
“With reference to your letter dated…”
Useful Expressions for the Body
- Stating purpose: “The purpose of this letter is to…”
- Giving details: “I would like to draw your attention to…”
- Requesting: “I would be grateful if you could…”
- Complaining: “I am not satisfied with…” / “I wish to express my disappointment about…”
Useful Expressions for Closing
“I look forward to hearing from you at your earliest convenience.”
“Thank you for your time and consideration.”
“Please do not hesitate to contact me if you need further information.”
Sample Letter
Subject: Application for the Post of English Teacher
Dear Mr Smith,
I am writing to apply for the position of English teacher as advertised in the Daily News. I hold a Bachelor’s degree in English and have 3 years of teaching experience. I am confident that my skills and experience make me a suitable candidate for this position. I would welcome the opportunity to discuss my application with you in person. Yours sincerely, Ahmed Benali.
