Writing a Formal Letter: Structure and Language
Writing formal letters is an important academic and professional skill. A well-structured formal letter follows specific conventions and uses appropriate formal language. This is a key skill for the BAC exam.
Structure of a Formal Letter
A formal letter has several parts: 1. Sender’s address (top right corner). 2. Date (below the address). 3. Recipient’s address (left side, below the date). 4. Subject line (Re: …). 5. Salutation (Dear Sir/Madam, or Dear Mr./Ms. Smith). 6. Body (introduction paragraph, main content paragraphs, conclusion). 7. Closing (Yours faithfully if salutation is Dear Sir/Madam; Yours sincerely if name is used). 8. Signature (handwritten signature and printed name).
Language and Style
Formal letters require: formal vocabulary (I would like to request, I am writing to inform you), complete sentences, polite tone, clear paragraph structure, no contractions (I am not, I will, I would), no abbreviations. Use linking words for coherence: First of all, Furthermore, Moreover, In addition, Nevertheless, Therefore, As a result, In conclusion. Keep sentences clear and concise.
Common Types
Main types of formal letters: Letter of application (for a job or university course), Letter of complaint (about a product or service), Letter of inquiry (asking for information), Letter to the editor (expressing an opinion in a newspaper), Letter of invitation (formal event). Each type follows the same structure but has specific content requirements.
Examples
- Salutation: “Dear Mr. Johnson,” or “Dear Sir/Madam,”
- Introduction: “I am writing to apply for the position of marketing assistant…”
- Body: “I completed my secondary education with a degree in literature…”
- Closing: “I look forward to hearing from you at your earliest convenience.”
