English Writing: How to Write a Formal Letter
A formal letter is a type of written communication used in official, academic, and business contexts. It follows a specific format and uses formal language. Knowing how to write a formal letter is an important skill for academic and professional success.
Parts of a Formal Letter
- Your Address: Write your address in the top right corner.
- Date: Write the date below your address.
- Recipients Address: Write the name and address of the person you are writing to on the left side.
- Salutation: “Dear Sir/Madam,” or “Dear Mr. Smith,”
- Subject Line: A brief summary of the letters purpose (e.g., “Application for the Post of Teacher”).
- Body: Introduce yourself, state your purpose, provide details, and conclude politely.
- Closing: “Yours faithfully,” (if you started with Dear Sir/Madam) or “Yours sincerely,” (if you used a name).
- Signature: Sign your name and print it below.
Types of Formal Letters
- Letter of Application: Applying for a job or position.
- Letter of Complaint: Expressing dissatisfaction with a product or service.
- Letter of Inquiry: Requesting information.
- Letter to the Editor: Expressing an opinion on a public issue.
Useful Phrases for Formal Letters
- Opening: “I am writing to apply for… / I am writing to express my concern about…”
- Requesting: “I would be grateful if you could…”
- Complaining: “I am writing to complain about…”
- Closing: “I look forward to hearing from you at your earliest convenience.”

Dear Sir/Madam,
